Record a payment from a client
Record money a client gives you for a booking, by UPI, cash, card or bank transfer, and see what they still owe.
Before you start: Staff need "View balances & take payment" on their role, under "Roles & Permissions" in Settings. The business owner always has it.
Steps
- Open "Bookings" and find the pet’s card. Tap the money line on the card. It shows what is due or paid, or "No charges yet".
- If the client still has to pay, you see "Record Payment". If nothing is due yet, tap "+ Record advance payment". After check-out it reads "+ Record payment".
- UPI is already picked. If they paid by cash, card or bank, tap that instead. "Paid on" is today: change it if they paid earlier.
- Type the amount they gave you. The grey number is only the balance. Tap "Record" and you see "Payment recorded". A part payment is fine.
- At check-out, the charge button also records the payment. Do not record it again here.
If this does not work
- You see "More than the balance due": the amount is more than the client owes. Check it, and tap "Record anyway" only if it is right.
- A payment is wrong or recorded twice: open "History" on the bill and tap the cross on it. A no-permission message means staff need "Refunds & credit notes".
- The client is paying for a package, not a booking: open the pet from "Clients", then "Packages". Tap the menu button on the package, then "Record payment".
