Kennel Management Software: Features You Actually Need (And What to Skip)
I have talked to 50+ pet boarding operators across India over the last few months. Home sitters running 3 dogs, facility owners managing 40, trainers doing board-and-train programs.
Every single one has tried some software. Most went back to WhatsApp and notebooks.
The problem is not that software does not exist. The problem is that most kennel software is built for American boarding chains with front desk staff, not for Indian operators running lean operations from their phone.
Here is what actually matters — and what you can skip.
Features you actually need
1. Online intake forms
Why it matters: You need vaccination records, feeding instructions, emergency contacts, and medical history BEFORE the dog arrives. Chasing this info over WhatsApp is a nightmare.
What to look for:
- Custom fields (every operator has different requirements)
- Works on mobile (parents fill it on their phone)
- Stores data so returning clients do not re-enter everything
- Captures vaccination certificates as uploads
Skip if: The intake is just a PDF you email. That is not better than WhatsApp.
2. WhatsApp photo updates
Why it matters: This is the #1 thing parents want. "Is my dog okay?" They want photos, not an app notification.
What to look for:
- One-tap share to WhatsApp (not "download then manually send")
- Works without WhatsApp Business API approval (that takes months)
- No app for parents to download
Skip if: It requires parents to download an app. They will not do it. I have heard this complaint about every software from Pettle to MoeGo.
3. Scheduling and capacity tracking
Why it matters: Double-booking is embarrassing. Knowing your availability at a glance saves time when parents ask "do you have space next weekend?"
What to look for:
- Calendar view of check-ins and check-outs
- Capacity limits that prevent overbooking
- Easy to update from your phone
Skip if: It requires a desktop computer. You are not sitting at a desk.
4. Care schedules per dog
Why it matters: Max gets medication at 8 AM and 8 PM. Bella eats 150g twice a day. Rocky needs a potty break every 4 hours. You cannot remember this for 8 dogs.
What to look for:
- Per-dog feeding schedules
- Medication reminders
- Special instructions visible at a glance
- Morning digest email with today's tasks
Skip if: It is just a notes field with no structure.
5. Payment tracking
Why it matters: "Did they pay the deposit?" "What is the balance for a 5-night stay with grooming add-on?" You need this tracked somewhere.
What to look for:
- Per-night rates
- Add-on services with prices
- Deposit and balance tracking
- Checkout summary you can share
Skip if: It forces you to use their payment gateway. UPI and cash are still king in India.
Features that sound good but you will not use
Client portal with login
Sounds professional. In practice, parents will not create an account and remember a password to check on their dog. They will WhatsApp you instead.
Verdict: Skip. A simple link that opens in their browser is enough.
Automated SMS reminders
Great in theory. But SMS costs money, has terrible open rates, and WhatsApp is where your clients actually are.
Verdict: Skip unless it is WhatsApp-native.
GPS tracking for mobile groomers
Cool feature if you run a mobile grooming van in Los Angeles. Irrelevant if you are boarding dogs in Bangalore.
Verdict: Skip.
Detailed analytics dashboard
Revenue trends, occupancy heatmaps, booking patterns by day of week. Useful when you have 50+ dogs and staff. Overkill when you are running 8 dogs from home.
Verdict: Skip until you actually need it.
Multi-location management
If you have one location, you do not need multi-location features. Most Indian operators have one place.
Verdict: Skip unless you are expanding.
Integrated POS for retail
If you sell dog food and accessories, maybe. Most boarders do not run a retail operation alongside boarding.
Verdict: Skip unless you are a pet shop that also boards.
Features worth paying extra for
Staff/sitter management
If you coordinate multiple sitters or have staff, you need:
- Magic links so staff can log check-ins and upload photos
- Assignment of dogs to specific staff members
- Staff seeing only their assigned dogs (not your whole client list)
Training tracking
If you do training or board-and-train:
- Session logs with exercises covered
- Progress ratings per skill
- Program completion tracking
- Graduation certificates
Board-and-train combined view
Dogs in board-and-train need both boarding (meals, potty, care) and training (sessions, progress) tracked together. Most software treats these as separate modules that do not talk to each other.

Questions to ask before buying any software
- Do parents need to download an app? If yes, walk away.
- Does photo sharing work with WhatsApp? If it is only email or in-app, that is not how Indian parents communicate.
- Can I do everything from my phone? If you need a laptop, you will stop using it.
- What happens to my data if I cancel? Can you export your client list?
- Is pricing in rupees? Dollar pricing usually means it is not built for India.
