How migration works

Five steps. The upload + attestation take about fifteen minutes. Processing happens within 24 hours on our side, after which your records are live. You can pause at any step, or hand the file to us and skip straight to review.

    Export your data from your current tool

    Most pet-ops tools, spreadsheets, and Notion databases let you export a client list to CSV or Excel. Grab whatever you have — parent names, phone numbers, pet profiles, vaccination dates, stay history. If your current setup won't export cleanly, a screenshot or a shared link is fine too. We'll work with what you've got.

    Prepare the file (or skip and let us do it)

    PetBoard accepts standard columns: parent name, parent phone, parent email, pet name, breed, age, vaccinations, notes. Extra columns are fine — we keep them on the dog profile. If the mapping is unclear, email us the file and we'll prepare it for you at no charge.

    Upload at /dashboard/import

    From your PetBoard dashboard, open the import page, pick the file, and describe what's in it (e.g., 'clients and pets, 245 records'). You'll see the full attestation text you'll be signing before you agree to anything.

    Attest (one-time click-wrap)

    You sign a short Data Import Attestation confirming you have the lawful basis to transfer this data under the DPDP Act, 2023. It takes thirty seconds. A SHA-256 hash of the signed text is stored alongside the file reference for chain-of-custody — evidence-grade without being intrusive.

    Processing and review

    PetBoard processes your file within 24 hours. Your dashboard shows the imported clients as soon as it's done — no extra login needed. For 14 days after the records land, a banner on the dashboard surfaces your recent import so you can spot-check a sample for accuracy — the review window is part of the import contract. Flag anything that looks wrong and we'll correct it. Then switch on your intake forms and start running the business on PetBoard.

Every PetBoard account is governed by a Data Processing Addendum under the DPDP Act, 2023. Client data is isolated per operator and never shared across accounts. You can export or delete everything at any time. The full text of the DPA is available on our legal page before you sign up.

Migration FAQ

What file formats do you accept for migration?
CSV and Excel (.xlsx) are the main formats. If all you have is a Google Sheet, Notion export, or even a shared link to a table, that works too. We prepare the file on our end if the column mapping is unclear.
What if my export doesn't have all the fields PetBoard uses?
Missing fields stay empty. You can fill them in as you work — the intake form prompts for anything essential the next time a pet parent checks in. No field is mandatory for an import to succeed.
Will my clients need to do anything when I switch?
Nothing. There is no parent app to install. When you send the next update, your pet parents receive it on WhatsApp from your own number, exactly as they're used to. The only thing that changes for them is the occasional link you send — a care-update or stay-summary page — which opens in any browser.
What about care photos and videos from my previous tool?
PetBoard does not store care photos or videos — they flow through your WhatsApp and stay with the pet parent who received them. If your previous tool stored care media, you can export it separately for your own archive, but we don't import it into PetBoard. This is a deliberate design choice that keeps data-residency simple and keeps your costs predictable.
How long does the migration take?
The upload + attestation take about fifteen minutes on your end. PetBoard then processes the file within 24 hours and the imported clients appear on your dashboard when it's done. For larger imports (1,000+ records) we run a pre-flight check with you before processing, so the cycle is usually the same-day-to-next-day window.
Where is my data stored?
All primary pet-parent data is stored in AWS Mumbai (ap-south-1) on Supabase. The database of record does not leave India. A small amount of transactional email metadata (recipient name, address, subject) is processed by third-party email infrastructure for delivery — this is disclosed fully in our Data Processing Addendum.
What happens to my account on my previous tool?
That is between you and your previous vendor — we don't touch it. Many operators keep the old account live during the switch-over so they can cross-check. When you're comfortable, close it or let it lapse per that vendor's terms. If your previous vendor is shutting down, the clock is obviously less flexible; we can prioritise your migration accordingly.
What is the Data Import Attestation?
A short click-wrap you sign once per bulk import. You confirm that you are the Data Fiduciary for the records, that you collected them lawfully (consent or certain legitimate use under the DPDP Act), and that you are authorised to share them with PetBoard as your processor. A SHA-256 hash of the signed text is stored with the import — a chain-of-custody record that would stand up in evidence if a data-protection question ever arose.
Do you charge for migration?
No. Data migration is free. While PetBoard is in beta, the product itself is also free to use. Founder pricing after beta starts at ₹199/month.
What if I want to leave PetBoard later?
You can export all your data in CSV or JSON at any time and we will help you do it. On account termination we soft-delete within 24 hours and hard-delete within 30 days. There is no retention hold, no lock-in — this is written into the Data Processing Addendum you accept when you sign up.
